Booking Terms & Cancellations
Plasma Pen services are only available by appointment; therefore, a deposit is required to reserve your appointment.
In order to avoid last-minute cancellations, we have created our Booking Terms. There is a detailed explanation of how to request a cancellation or reschedule an appointment.
In the event that you need to cancel or reschedule your appointment with us, please read our Booking Terms carefully.
Video-Consultations and Follow-Ups are offered by Plasma Pen Clinics in order to ensure our clients’ satisfaction and safety. Therefore, it is a crucial part of starting your skin journey with us.
The purpose of this appointment is to learn more about your skin concern and determine whether or not the treatment is suitable for you. The treatment will then be scheduled according to our availability.

1. Consultations
Video - Consultation:
With our Video – Consultations, we provide personalised time at your convenience to answer any questions you may have about our services and to determine your suitability for Plasma Pen – Fibroblast treatments.
In Person - Consultation:
During our In Person – Consultations to answer any queries that you may have about our services and to check your suitability for our Plasma Pen – Fibroblast Treatments. During consultation, you also can choose in having a Plasma Pen test – patch.
Fibroblast Test - Patch:
The Test – Patch can be booked only in conjunction with the In – Person Consultation. The fibroblast expert will clarify the reasons for the test and if it will be required or not.
Video - Follow Up:
It is only available to clients which have recently undergone our treatments wishing to review treatment quote and update their treatment plan. The Video follow – up will booked complimentary within seven days after the procedure. Fees applied for any follow – up booked after the seven days mark.
In Person - Follow Up:
Clients who have recently undergone our treatments are eligible for our In Person – Follow Up service. It is usually scheduled a month after the procedure in order to capture and review the treatment outcomes through pre- and post-treatment photos. We require a minimum of thirty to sixty days after the treatment to schedule a follow-up appointment by using our online booking agenda.
2. Cancellation Process
We just work by appointments only, and we are always ensuring that our clients are assisted in proper timely manner to avoid delays.
- 48 HOUR’S notice for cancellations or changes for the Video – Consultation & Video – Follow Ups.
- ONE WEEK’S notice for cancellations or changes on Treatment Bookings and In Person – Consultations.
- In the event of a cancellation made in a timely manner, the full amount of the consultation or treatment will be refunded minus a $15 administration fee to the card originally used
- Refunds may take up to three days to process.
- Any other unexpected changes or cancellations are only eligible for a 50% refund after management approval.

3. Late Arrivals & No Shows
Consultations and treatments are subject to a 10-minute delay tolerance.
If you are late or if you have not completed and submitted the electronic consultation form 24 hours before your video consultation, we will need to reschedule the appointment in order to accommodate you. As a result of the time exceedance and the treatment or consultation cannot be accommodated, a 50% fee will be deducted from the deposit to compensate.
The Consultation Form must be submitted within the required time frame in order to avoid the possibility of “no show”. It will automatically cancel the old booking and submit an updated one.
4. Bookings & Cancellation Fees
A cancellation fee will be deducted from the deposit paid to secure the appointment:
- Video – Consultation: $30.
- Video – Follow Up: $30.
- In Person – Consultation: $100.
- In Person – Follow Up: $50.
- Plasma Pen – Fibroblast Treatment Deposit: $100.
- Dermal Treatment: 50% of the treatment cost.
Your deposit will be forfeited if a cancellation is made outside the required notice period. As a reminder, the deposit credit will expire after three months if it is not used within that time period. It is important to note that fees associated with online consultations are not refundable.
Consultations and treatment plans are valid for three months from the date of the consultation. Therefore, in order to maintain the validity of the consultation and treatment plan after the expiration date, a new consultation must be scheduled, and a new health questionnaire, treatment plan, and quote must all be updated.
