Terms of Service

1. Acceptance of Terms

By accessing our website or booking a treatment with Plasma Pen Clinic ("we", "us", "our"), you agree to be bound by these Terms of Service. If you do not agree to these terms, please do not use our website or services. These terms are governed by the laws of Australia.

2. Services

Plasma Pen Clinic provides non-surgical aesthetic treatments including plasma pen fibroblast therapy, Deluxe Fibroblast Booster sessions, and Revitalise Packages. All treatments are performed by trained practitioners. We reserve the right to modify, suspend, or discontinue any service at any time without notice.

Treatment outcomes vary between individuals. Results are not guaranteed and depend on factors including skin type, age, lifestyle, and adherence to aftercare instructions. Any before-and-after imagery displayed is illustrative only and does not constitute a guarantee of results.

3. Bookings and Appointments

All bookings are subject to availability. A booking is confirmed only upon receipt of a confirmation from us. We reserve the right to decline or cancel a booking at our discretion.

A consultation is required prior to your first treatment to assess suitability. We reserve the right to decline treatment if we determine it is not appropriate for you based on your health history or skin condition.

4. Cancellation Policy

We work by appointment only and are dedicated to ensuring every client is seen promptly and without unnecessary delays. To help us maintain this standard, we ask that you provide adequate notice if you need to cancel or make changes to your booking.

  • —48 hours' notice is required for cancellations or changes to Video Consultations and Video Follow-Up appointments.
  • —One week's notice is required for cancellations or changes to Treatment Bookings and In-Person Consultations.
  • —Cancellations made within the required notice period are eligible for a full refund of the consultation or treatment fee, less a $15 administration fee returned to the original payment method.
  • —Refunds may take up to three business days to appear.
  • —Cancellations made outside the required notice period may be eligible for a 50% refund, subject to management approval.

We reserve the right to cancel or reschedule appointments due to unforeseen circumstances. Where this occurs, we will notify you as soon as possible and offer an alternative appointment at no additional cost.

5. Late Arrivals & No-Shows

We allow a 10-minute grace period for all consultations and treatments. If you arrive after this window, or if your electronic consultation form has not been submitted at least 24 hours before your Video Consultation, we may need to reschedule your appointment to ensure you receive the full care you deserve.

Where an appointment cannot proceed due to late arrival or an incomplete consultation form, a 50% fee will be deducted from your deposit to account for the reserved appointment time.

Please note that the Consultation Form must be submitted within the required timeframe. Failure to do so may result in a "no-show" classification, which will automatically cancel the existing booking and generate an updated one.

6. Deposits & Cancellation Fees

The following deposits are required to secure your appointment:

Deposits are forfeited if a cancellation is made outside the required notice period. Deposit credits are valid for three months from the original appointment date and cannot be extended beyond this period. Please note that fees for online consultations are non-refundable.

Consultation and treatment plans remain valid for three months from the date of your consultation. After this time, a new consultation will be required, along with an updated health questionnaire, treatment plan, and quote.

7. Appointment Changes & Rescheduling

Treatment appointments may be rescheduled within seven days of the scheduled date. Clients may reschedule up to three times across three consecutive months while retaining their deposit credit.

If treatment is deferred into a fourth consecutive month, the deposit will be forfeited and can no longer be applied toward the total treatment cost.

In this case, a new Video Consultation will be required to complete an updated health questionnaire, and a revised quote will be issued — as consultation forms carry a three-month expiry.

9. Payments and Pricing

All prices are listed in Australian Dollars (AUD) and are inclusive of GST where applicable. Prices are subject to change without notice. Payment is due at the time of service unless otherwise agreed in writing.

We accept payment via the methods listed at the time of booking. We do not store your payment card details — all transactions are processed securely by our third-party payment provider.

10. Refunds

Refunds are provided in accordance with the Australian Consumer Law (Schedule 2 of the Competition and Consumer Act 2010 (Cth)). You are entitled to a refund or remedy if a service has a major failure. We do not offer refunds for change of mind or dissatisfaction with results that fall within the normal range of outcomes for the treatment.

If you have a concern about a treatment outcome, please contact us within 14 days of your appointment so we can assess and address your concern.

11. Health and Medical Disclosure

You are responsible for disclosing all relevant health and medical information prior to treatment. Failure to disclose relevant information may affect your suitability for treatment and may void any obligation on our part to remedy adverse outcomes. Plasma pen treatments are not suitable for everyone — contraindications include but are not limited to pregnancy, active skin infections, certain autoimmune conditions, and use of blood-thinning medications.

12. Aftercare Compliance

You agree to follow all aftercare instructions provided by your practitioner. Failure to follow aftercare instructions may affect your results and may void any obligation on our part to remedy adverse outcomes arising from non-compliance.

13. Rewards Program

Participation in the Plasma Pen Clinic Rewards Program is subject to separate terms and conditions. Points have no cash value and cannot be transferred. We reserve the right to modify or terminate the Rewards Program at any time. Accumulated points may be forfeited upon termination of the program.

14. Intellectual Property

All content on this website — including text, images, graphics, logos, and design — is the property of Plasma Pen Clinic or its licensors and is protected by Australian and international copyright laws. You may not reproduce, distribute, or use any content without our prior written consent.

15. Limitation of Liability

To the maximum extent permitted by law, Plasma Pen Clinic excludes all liability for any loss or damage (including indirect, consequential, or economic loss) arising from your use of our website or services. Our liability is limited to the re-supply of the relevant service or a refund of the amount paid, at our discretion.

Nothing in these terms excludes, restricts, or modifies any right or remedy, or any guarantee, warranty, or other term or condition, implied or imposed by the Australian Consumer Law that cannot lawfully be excluded or limited.

16. Website Use

You agree to use our website only for lawful purposes and in a manner that does not infringe the rights of others. We reserve the right to restrict or terminate your access to the website at any time without notice.

Our website may contain links to third-party websites. We are not responsible for the content or privacy practices of those sites.

17. Governing Law

These Terms of Service are governed by the laws of Australia. Any disputes arising under these terms will be subject to the exclusive jurisdiction of the courts of Australia.

18. Changes to These Terms

We may update these Terms of Service from time to time. The updated version will be posted on our website with a revised "Last updated" date. Continued use of our website or services after any changes constitutes your acceptance of the revised terms.
